BOOKING & PAYMENT
To secure your date, a non-refundable deposit of £100 is required.
The contract must be signed by the deadline date to guarantee a group for your event.
The remaining balance is due 30 days prior to the event date.
Payment details can be found on your invoice, available via your Client Portal.
If payment is not received by this deadline, Weddington Strings cannot guarantee to fulfil the booking.

PERFORMING INDOORS & OUTDOORS
We are happy to perform either indoors or outdoors, provided conditions are suitable.
For outdoor performances:
The temperature must be between 18°C and 30°C
Full shade must be provided — a large tree (in fine weather) or a gazebo that is 1m larger than our performance space is acceptable
We cannot perform under parasols or in direct sunlight
We cannot perform in rain under any circumstances, as this risks irreversible damage to our instruments and equipment
Weddington Strings reserves the right to refuse to perform outside if the conditions are unsuitable.
Performance areas must be free from pedestrian traffic.
If the venue cannot offer suitable outdoor cover, we can perform indoors with doors open, provided there is adequate space.
A gazebo is available to hire from us for £50 if your venue cannot provide suitable outdoor cover.
Required performance space:
Quartet: 2m x 3m
Smaller ensembles: 2m x 2m
Any cover provided must be at least 1m larger than the performance space
TECHNICAL REQUIREMENTS
We require:
Armless chairs in good condition (4 for a quartet)
A secure space to store our cases and get changed if possible
All performance spaces should be free of pedestrian traffic and fully covered in the case of outdoor performances.
BREAKS
We perform in sets of 50–60 minutes with a short break in between.
For bookings lasting over 4 hours, we will require a 1-hour break after 4 hours of performance time.
Your booking covers the total time from our arrival to the end of the performance, including breaks. Please note this does not include set-up or pack-down time.
BOOKING ARRIVAL TIME & VENUE
We arrive 45 minutes prior to the agreed performance start time, as stated in your Client Portal.
Please ensure that your chosen venue is informed of our arrival time, and that we are provided with the exact location and appropriate access instructions, well in advance of the event date.
FOOD
For bookings over 2 hours, we kindly ask that musicians are provided with food.
A plate of sandwiches is fine — we just need enough energy to give you the performance you deserve!
Please arrange this with your venue in advance.
OVERTIME FEES
We offer the first 15 minutes free of charge in the event of unforeseen delays.
After this, overtime is charged at £125 per hour.
Additional time may be negotiated on the day if available.
Please note that performing beyond our contracted time is at our discretion.
Weddington Strings cannot guarantee availability for overtime, depending on our schedule on the day.
REPERTOIRE
We’re happy to take repertoire requests and will confirm everything with you ahead of the event.
All repertoire must be finalised at least 14 days prior to the event
Requests for music not already in our collection — that requires sourcing or bespoke arrangement — will incur an additional fee
Our fees for extra music are:
Sourcing – from £15 per arrangement
Bespoke arrangement – £75 for a 2-minute song, plus £35 per additional minute arranged
For bespoke arrangements - requests must be finalised 30 days prior to your event, to guarantee we have adequate time to create the arrangement
General music requests made after the 14-day deadline may not be possible to fulfil.

Please also refer to our Recommended Music Guide (uploaded in your portal) for help choosing music for each part of your day.
CANCELLATION
The £100 deposit is non-refundable and secures your booking.
If a confirmed booking is cancelled:
Within 60 days of the event – 50% of the total fee is payable
Within 30 days of the event – 100% of the total fee is payable
These cancellation fees apply based on your event date, regardless of whether the remaining balance has yet been paid.
AGREEMENT
By confirming your booking and paying the deposit, you agree to the terms and conditions outlined above.
